Serving Commercial Accounts So Your Towing Business Keeps Them

Winning a commercial account feels great. Losing one feels terrible, and it usually happens quietly. The calls just slow down, then stop, and you find out months later that the body shop switched to someone else because of one bad experience or a slow build-up of small ones.

Keeping accounts is mostly about consistency. Accounts want to know that every call will be handled the same way, every time, no matter which driver shows up.

Consistency Beats Heroics

After building accounts, as covered in Building Commercial Accounts for Your Towing Business, the real work is keeping them. Accounts do not remember the one time you went above and beyond nearly as well as they remember the one time you showed up two hours late with no explanation.

Consistency comes from systems, not effort. When every driver has the same information, follows the same process, and the account's preferences are written down, the service stays the same whether it is your best driver or your newest.

Think of it from the account's side. Their office manager has to explain delays to their own customers. When your service is predictable, it makes their job easier, and that is a powerful reason for them to keep calling you.

Write Down How Each Account Likes Things

Every account has its quirks. One body shop wants vehicles dropped at the back lot. One dealership wants a call before arrival. One property manager wants photos of every vehicle removed. If these preferences live only in one driver's head, the account gets inconsistent service.

Put them in the account notes. In TowingBossPro, commercial accounts have their calls and invoices under the account, and call notes go to the driver in the app. A new driver sees exactly how the account wants things done.

Review account notes once in a while. Contacts change, gates get new codes, lots get rearranged. Notes that were right last year may be wrong now, and outdated notes are almost as bad as none at all.

Treat Their Vehicles Like Your Own

Damage claims are one of the fastest ways to lose an account. Train drivers to hook carefully, and make vehicle photos at pickup a non-negotiable habit. Photos in the driver app show the condition of the vehicle before you touched it.

When a dispute does come up, those photos protect you and show the account that you take care seriously.

If damage does happen, own it. Report it right away, explain what happened, and make it right. Accounts understand that accidents happen. What they do not tolerate is finding damage on their own and feeling like you hid it.

Communicate Before They Have to Ask

Accounts are busy. They do not want to call you to find out where the truck is. On-the-way and arrival texts from the driver app keep them informed. Two-way texting lets the office answer questions without phone tag.

If something goes wrong, like a delay or a problem with a vehicle, tell them before they find out on their own. Accounts forgive problems. They do not forgive surprises.

Be clear about response times. If an account expects a truck within an hour and you know a busy night means longer, tell them when they call. Setting expectations is half of keeping them.

Keep Billing Clean

Messy billing quietly erodes trust. Invoices with missing vehicle details, wrong dates, or charges the account did not expect make the account's office staff work harder, and they will remember it.

Send invoices promptly with full vehicle details, pickup and drop-off, and any storage charges clearly shown. Keep everything under the account so they can see it all in one place. If they prefer, set up a card on file or auto-billing so payments happen without paperwork.

Check In Regularly

Do not wait for an account to complain. Every month or two, stop by or call the person who sends you work. Ask how things are going and if there is anything you could do better. Thank them for the business.

These check-ins often turn up problems before they become reasons to leave, and they often turn up new work too. Happy accounts are also a great source of reviews and referrals, which the next guides cover. More on the full system is on the towing business software page.

Keep an eye on each account's call volume in your weekly review. A sudden drop is often the first sign something is wrong. A quick call when you notice it can save an account before it quietly goes to someone else.
