Building Clean Storage Invoices: Line Items, Sales Tax and Detail

An invoice is not just a request for money. At a storage lot, it is the explanation of what happened to someone's car and why it costs what it costs. A clear invoice gets paid. A vague one starts an argument.

What a Storage Invoice Should Show

A good impound or storage invoice answers every question before it is asked:

In TowingBossPro, the vehicle details come from the call, and storage days are counted from the start date and added to the invoice at the daily rate. Most of the invoice builds itself from records you already kept.

Look at your current invoices with fresh eyes, as if you were the owner. Could you tell what the bill was for without calling? Could you check the math? If not, that is where your disputes are coming from.

Storage Days, Spelled Out

The storage line is where disputes happen. "Storage: $450" makes people suspicious. A line that shows the number of days and the rate per day lets anyone check the math. Most people stop arguing once they can see that the number is just days times rate.

How storage days are counted and what can be charged varies by state and city, so make sure the way your invoice counts days matches your local rules and your posted policy.

Make sure the start date on the invoice is the one in the record and not a date someone typed by hand later. When the invoice and the record match, you never have to explain why they are different.

Other Charges on Their Own Lines

If you charge for anything beyond the tow and storage, list each charge separately with a clear name. Fees bundled into one mystery line look like padding even when they are legitimate. Some jurisdictions limit what extra fees can be charged on impounds, so check what applies before adding any.

Use the same names for the same charges every time. If the description changes from invoice to invoice, accounts and owners will assume the charge is made up as you go.

Sales Tax Where It Applies

TowingBossPro supports sales tax on invoices. Whether towing and storage charges are taxable depends on where you operate, and it can differ between the two. Ask your accountant, set it up correctly once, and the invoices handle it from there.

Account Invoices Need Extra Detail

Accounts approve invoices in batches, often by someone who never saw the car. Give them what they need to approve quickly: the vehicle details, their reference numbers in a custom field if they use them, and a clear breakdown of tow and storage. Invoices sit under the account in TowingBossPro, so you can see everything you have billed them.

Ask your bigger accounts what they need on an invoice to approve it. Some want a claim number, some want a purchase order, some just want the VIN. Adding a custom field for it costs you nothing and can cut weeks off how long they take to pay.

Paid Means Paid

Make sure every payment, online, card on file or at the window, is recorded against the invoice. An invoice that shows paid is what the release clerk checks before the keys go out, and it is what your reports rely on.

A clean invoice is a small thing that makes every part of storage easier: release, account billing, disputes and your own reports. See how invoices connect to the rest of the lot on the Impound & Storage Software page. Next: scheduling impound pulls on the dispatch board.

If you ever reduce a storage bill, show the reduction on the invoice rather than quietly lowering the number of days. Your reports should be able to tell the difference between storage you did not earn and storage you chose to forgive.
