Closing Out a Tow in the Driver App So the Invoice Is Ready
The tow is done. The car is at the shop, the straps are back in the box, and the driver is already looking at the next call. But until the office has what it needs to invoice that call, the company has done the work and not been paid for it.
Night Calls and Late Tows: Using the Driver App After Dark covered calls after dark. This article is about the last minute of every call, day or night, and why it decides how fast you get paid.
Complete Is the Starting Gun
In TowingBossPro, the driver taps complete when the call is done. That moves the call from "in progress" to "ready to invoice." The office can see which calls are done and start billing them.
A call without a complete tap is a call nobody bills. That is the single biggest leak in tow company revenue: calls that were run and never invoiced because nobody marked them finished.
Small calls leak the most. A tow gets remembered because it was big. A jump start at 6am that took ten minutes is the one that slips through. Make complete a reflex on every call, not just the big ones.
Make the Call Match What Happened
Before tapping complete, the driver should make sure the call reflects reality. Did the drop-off change? Was it a different vehicle than the call said? Did a jump start turn into a tow? Any difference needs to reach the office, either through a note or a quick call, so the invoice is right the first time.
An invoice that has to be corrected after the customer disputes it is slower and more painful than one that was right from the start.
The vehicle details matter here too. The invoice should name the right vehicle, especially for commercial accounts that receive many invoices for similar units. A correct plate and VIN on the call means the account can match the invoice to its records without calling.
Notes on Extras
Some calls involve extra work that affects the bill: extra time on a winch-out, a second truck at a recovery, a long wait at the scene, special equipment. Company pricing policies decide how those are charged. The driver's job is to note what happened so the office can apply the policy.
Notes written on the spot are accurate. Notes written at the end of the shift are guesses.
Keep notes factual. "Vehicle 30 feet down embankment, 45 minutes winching, second truck used for traffic" is useful. "Hard job" is not. The office needs facts to bill fairly, and the customer deserves to see what they are paying for.
Photos Support the Invoice
Photos are not just about damage. A photo of a vehicle buried in a ditch explains a winch-out charge. A photo of a car in a tight garage explains why it took the time it did. When a customer questions an invoice, photos on the call give the office something concrete to show.
Getting Paid
Once the call is complete, the office invoices it. Customers with a card on file can be charged right away, and auto-billing can handle regular customers. One-time customers can pay online from the invoice. Sales tax is applied where it applies.
For commercial accounts, the invoice sits under the account with its other calls. Payment follow-ups go out automatically when invoices are not paid, so the office spends less time chasing. For storage, storage days are added to the invoice based on the start date and daily rate.
Customers can see their invoices and pay in the customer app, which makes paying easy for people who would otherwise put it off.
For calls that started with an estimate, such as a long transport priced ahead of time, the approved estimate is already on file, so the invoice matches what the customer agreed to. No surprises means fewer disputes.
Faster Close-Out, Faster Cash
A driver who completes calls promptly and accurately shortens the time between doing the work and getting paid. Over a month, that is real money in the bank sooner. It is worth telling drivers that directly: the close-out is how the company pays them.
